Project Coordinator– Asset Management and PMO Reporting

Role: Work on various elements of projects and provide Project Managers with administrative support. Utilize project management systems to monitor project progress and budgets. Responsible for providing administrative support to project managers.

Responsibilities/Duties:

  • Support the Divisional Project Management Team to develop and coordinate project plans, project tasks and purchase
  • Communicate relevant information to the project team; ensure project teams’ needs and requests are met in a timely
  • Maintain project documentation through document management
  • Help develop and maintain relationships with client groups, suppliers, workers and
  • Create and maintain reports to track KPIs critical to project success.
  • Perform sales order
  • Prepare and communicate material picks for Warehouse
  • Create new job numbers in financial systems for projects and
  • Calculate charges and generate invoices and statements to bill customers on an accurate and timely basis.
  • Perform data entry of Requests for Information (RFIs), Requests for Quotations (RFQs), Change Notice Submittals and follow-ups.
  • Assist with pricing of time and material
  • Support the preparation of tender quotations to ensure they are submitted on
  • Perform general administrative duties as required by PMO management team.
  • Perform all regular duties with varying flexible

Requirements:

  • Diploma or Degree in Computer Sciences or Business Administration
  • Experience working in a fast-paced and dynamic
  • Experience scheduling resources and other team members
  • Experience preparing and submitting reports in a timely and accurate
  • Detail-oriented, accurate and uses good
  • Information Technology background and experience preferred.
  • Proficient in the use of Microsoft Office; specific to Outlook, Word, Excel, PowerPoint and Power BI
  • Strong Excel skills required
  • Knowledge of asset management including inventory tracking and reporting
  • Ability to prepare invoices, monthly billings, purchase orders and other accounting documentation.
  • Excellent communication skills through the utilization of email, phone and face to face
  • Bilingual (fluent in French/English) preferred
